Chesterfield - Maryville, MO.

We will count on you to:
Scheduling appointments and meetings for the CEO, including
day-to-day and long-term management of scheduled appointments and
meetings, screening telephone calls; meeting and greeting
customers/visitors to ensure good public relations.
Typing correspondence, prepares meeting agendas, taking meeting
notes, filing, maintaining corporate records and organizing
executive calendar.
Opening confidential and non-confidential mail, sorting and
distributing daily.
Maintains necessary diaries and suspense items in computer system,
internal memos and documents, verifies accuracy of assigned work by
proofreading and editing before returning for final review.
Maintains Linked-in profile and other social media outlets for
executives
Supports prospecting efforts of CEO by conducting research,
maintaining Salesforce activity and coordinating marketing
campaigns
Creates and edits documents using PowerPoint, Excel and Word,
maintaining confidentiality at all times, especially when dealing
with sensitive information and internal correspondence.
Ensures timely return of all assigned work to respective staff
personnel.
Ensures coordination, planning and scheduling of routine social and
marketing engagements with companies and customers; and internal
meetings and events, including training, management meetings,
seminars and producer meetings. Schedules and attends meetings on
behalf of executives, taking notes and recording minutes.
Prepares meeting rooms/facilities and required audiovisual
equipment. - - Obtains requested refreshments for all events, which
includes maintaining checklists for planning and sending
invitations, meeting reminders and maintaining RSVP for events.
Assist in budget preparation by processing and analyzing necessary
data and input of data into presentation format.
Coordinates business travel arrangements, including providing
assistance with tracking and submission of travel and entertainment
expenses reports
Assists with various other special projects as needed.
Assists executive management in projects as requested.
Serves as backup to other department personnel as needed.
Maintains confidential contract files, financial reports and
correspondence in coordination with other department members.
Attend periodic department and team meetings; document meetings by
taking minutes and notes for use by management.
What you need to have:
High School Diploma required.
Associates degree or higher in Business Administration or related
field preferred.
Three to five years administrative assistant experience in
professional office environment.
PC operation at an advanced level, including word processing and
spreadsheet ability; graphics and presentation design. - Typing 70
wpm. - Standard software programs utilized: Microsoft: Word, Excel,
PowerPoint, Access, Outlook, Internet, Adobe Acrobat
Industry specific software experience preferred.
Maintain a high level of integrity and ability maintain
confidentiality at all times.
Excellent written and verbal communication skills necessary to
communicate effectively with clients and co-workers using tact and
diplomacy.
Emphasis on accuracy, attention to detail and ability to proof
one's own work as well as the work of others; ability to work in a
proactive manner to consistently deliver high-quality work.
Commits to additional hours of work when necessary to reach goals.
Flexibility to arrive early and stay late, as needed.
Ability to interpret a variety of instructions furnished in
written, oral, diagram, or schedule form.
Ability to read and comprehend complex instruction, correspondence
and memos.
Strong and pleasant telephone and interpersonal skills, and the
ability to deal professionally with clients and co-workers on the
phone and in person.
Excellent organizational and time management skills, ability to
take initiative, use good judgment, demonstrate a strong sense of
urgency and carry multiple projects through to completion.
Ability to work under pressure with tight time constraints, as well
as the ability to deal with frequent interruptions, unresolved
situations, frequent change, delays or unexpected events.
Ability to maintain a mature, problem-solving approach; general
knowledge of "how to get things done."
Follows instructions, responds to management direction; takes
responsibility for own actions.
Completes tasks on time or notifies appropriate people with an
alternate plan.
