Job Description Job Description PURPOSE: The purpose of the
Shipping and Receiving Manager is to provide supervision and
management for the receipt and delivery of required goods and mail
services to the university. Maintains a perpetual inventory of
fixed assets purchased by the university. Acts as records manager
for archived records at the university. ESSENTIAL JOB FUNCTIONS:
Manages the university warehouse, serving as the accountable
officer for all supplies and equipment, and performing related
activities as assigned. Manages the university mailroom, shipping,
receiving and delivery divisions. Supervises Shipping and Receiving
Clerks by providing direction in the receiving and delivery of
goods and mail. Coordinates and supervises the maintenance of all
inventory control records for non-expendable property, including a
perpetual inventory in Colleague. Performs monthly reconciliation
of non-expendable inventory with the general ledger, including
central supplies and gasoline issuances. Determines optimum
inventory levels for gasoline supply. Establishes reorder points
and standard order size; initiates purchase requisitions for
approval when inventory levels reach the reorder point. Tags and
records all incoming non-expendable property. Assist Warehouse
staff when necessary. Performs the legal disposition of surplus
property and reporting of same for removal from inventory.
Disposition through sealed bids, as appropriate. Performs valuable
non-expendable dispositions for sale of fixed assets by a
competitive bid process through online surplus sales system,
GovDeals.com. Performs records management function for archived
records. Maintains listing of records, extract, delivers, and
refiles records. Supervises and conducts annual physical
non-expendable property inventory. Prepares monthly usage reports
for gasoline and turns them into accounting. Performs other duties
as assigned by the Director of Purchasing. ADDITIONAL DUTIES And
RESPONSIBILITIES: Train Shipping and Receiving division workforce
in the performance of their duties. Assists Shipping and Receiving
Clerk with difficult or oversized deliveries. Assists Shipping and
Receiving Clerk with the receiving, sorting and delivery of
university mail. Performs regular housekeeping in warehouse and
mailroom locations. Coordinates with the Accounts Payable team in
the acceptance of purchase orders in Colleague system when
requested procurements have been received but not accepted. Manage
monthly payroll of Shipping and Receiving division hourly
employees. Maintain work schedules of Shipping and Receiving
division staff based on the needs of the department of Purchasing.
QUALIFICATIONS: Two-year college or technical school degree.
Minimum of 3 years supervision in the keeping of stores. Knowledge,
Skills, Abilities and Personal Characteristics Knowledge of
University rules and procedures. Ability to use Ellucian/Colleague
software. Basic computer skills. Certifications, Licenses,
Registrations: Previous basic training and experience in the
operation of a pallet jack and/or forklift. Previous basic training
and experience in the operation of fueling management systems.
PHYSICAL DEMANDS: Ability to sit at a workstation for extended
periods. Regular physical ability to lift, carry, and put away
parcels weighing up to 50 pounds. Regular physical mobility, which
includes movement from place to place on the job taking distance
and speed into account. Regular physical agility, which includes
ability to maneuver body while in place. Regular physical strength
to handle routine office materials and tools. Regular dexterity of
hands and fingers. Regular coordination, including eye-hand,
hand-foot. Regular endurance. This job description is not intended
