Description
This position is a non-licensed/certified staff member authorized to transport and/or stock medications to meet specified essential job duties. This includes staff who do not have the authority to prescribe, dispense and/or administer medications. Responsible for the organization, processing, and completion of all reports and paperwork performed within the department. Acts as the receptionist for the department. Coordinates the scheduling of all patient referrals. The medical secretary will be responsible for patient registration, billing and record processing. Transcribes patient notes using a Dictaphone and computer. Types correspondence or other written material for PT, OT, ST, AT, and Director. Performs duties and responsibilities in a manner consistent with our mission and values.
Principle Accountabilities: % Of Time Spent


  • Clerical: Coordinates patient flow throughout the registration process. Pre-registers and registers patients. Provides information to billing office. Completes admission paperwork; obtains patient signatures. Obtains patient information face sheets. Performs computer entry, charges, and credits. Faxes reports and document requests. Answers telephones; takes and relays messages to appropriate personnel. Sorts and distributes in-coming mail. Participates in record assembly and processing. Maintains patient vital statistics. Calls and reports repairs or needs to maintenance. Communicates with insurance company for benefit information. Orders office and non-capital and patient supplies. Collect co-payments and coinsurance. Follows specified procedure for dispatching completed reports to designated personnel for approval and signatures. Uses computer proficiently. Knowledgeable on Cerner clerical Applications. Coordinates changes in the department workload with appropriate supervisory personnel. Assists in keeping all work area neat, clean, and well organized. 45%


  • Customer Service: Greets and interacts with co-workers, patients, visitors, physicians and vendors in a friendly, helpful and professional manner. 45%


  • Participates in planning and implementing formal Quality Assurance (QA) activities to ensure and enhance the quality of patient care. 5%


  • Performs other work duties as assigned. 4%

    Education
    High School diploma or equivalent required.
    Experience
    Comprehensive medical terminology from an approved training course required.
    50-60 wpm typing or basic computer skills required.
    Graduate of vocational/secretary training and/or completion of secretarial competency assessment or related work experience required
    The assessment, care and treatment provided by the Department Secretary will be consistent with the specific age related needs of the patient.
    The Department Medical Secretary is competent to care for patient age groups including the child, adolescent, adult, and geriatric adult patient.
    Maintain Safe Medication Handling competency.
    Working Conditions
    Employee is required to sit continuously and walk occasionally. Employee may be required to lift over 100 lbs. with assistance. Employee is frequently required to bend, squat, kneel, reach forward and reach overhead. For repetitive upper extremity action, Employee is required to use both hands for simple grasping and fine manipulation. For repetitive lower extremity action, employee is required to use foot controls. Employee is continuously exposed to CRT terminal work.
